EAM 12.2.1 Highlights

EAM version 12.2.1 is almost here, and along with it come many improvements to existing functionality. We want to share some highlights from the release notes so you know what to expect when the upgrade hits the cloud on Saturday, May 17th!


Email Notifications 

E-mail Notification Setup  

The E-mail Notification Setup screen has been converted to a standard EAM screen with a list view showing all existing records across all tables when opened. With this change, the previous Create Conditions and Create Parameters buttons that invoke popups have been moved to tabs off the E-mail Notification Setup record view. 

E-mail Templates 

E-mail Templates have now been re-designed to support many modern email design practices. With just populating a few fields on the E-mail Templates screen, you can now add a custom headers and footers to your EAM Emails with company branding.  E-mail Templates also support a new "Call-to-Action" (CTA) block. The CTA Block contains a headline and summary section, but most importantly a hyperlinked button that is configurable to meet you email use case. EAM can embed a Drill Back URL back to the source record (formally known as the 'Include URL' checkbox on E-mail Notification Setup), an Approval Workflow drill back, Customer Surveys, and even custom parameterized URL's to where ever your users need to go. Headers and Footers need to be enabled to use this feature.


Revision Control for Equipment 

Introduced revision control on the Assets, Positions, and Systems screens. To activate revision control for an equipment, select the new Revision Control checkbox. By default, this checkbox is hidden in screen designer. This checkbox can be selected at any time. Once selected and the update is saved, the system will: 

 • Protect the Revision Control checkbox. The only method to unselect it again is by approving a new equipment revision with this checkbox unselected. 

• Protect the other field values for this equipment like Description, Class, Model, etc. 

• Create an approved equipment revision record on the new Equipment Revisions screen copying all equipment data as is. The first time this happens revision zero will be created. Any consecutive time the approved revision will be set one higher than the current approved and the latter revision record will be superseded automatically. 


Documents | Equipment Classes 

A new tab for Equipment Classes was added to the Documents screen. This is where users can configure associations between documents and equipment classes, categories and/or specific equipment records. If data is configured in the new tab, these associations will be used to filter out the document when not relevant. The document will only be shown if the header record's Equipment matches the associations setup in this new tab. This filtering only occurs in the Document List tab for screens having an Equipment value; for example, Work Orders, but not Purchase Orders. 


Work Orders | Documents tab | Checklist Documents 

Added a new node called Checklist Items on the Documents tab of the Work Orders screen that will show documents that were collected against any checklist items of the work order. This node is optional and only visible if the installation parameter RECHDOCS is set to ON. The default for the parameter is OFF. 


Equipment Withdrawal & Auto-Deactivation of PMs/MPs 

Whenever equipment status is changed to ‘Withdrawn’, the system can now automatically deactivate associated PM schedules and maintenance patterns. This behavior can be enabled using the new equipment organization option EQWITHD. If set to OND, the system will deactivate associated PM schedules/maintenance patterns and delete awaiting release/bypassed work orders. If set to ONC, the system will deactivate associated PM schedules/maintenance patterns and complete awaiting release/bypassed work orders. A comment will be added for these completed work orders to provide a reason for completion. The process of deactivating PM schedules and maintenance patterns because of withdrawing equipment will be similar to deactivating them manually from their respective screens, except that all PM schedules/maintenance patterns for the equipment will be deactivated upon withdrawing the equipment. If any records were deactivated, the system will display a message indicating the number of equipment PM schedule and maintenance pattern records were deactivated. The default value for this new organization option is OFF. Therefore, the value must be changed to one of the values discussed above to enable this new behavior. 


Local UOM for Stock 

Added the ability to specify a local UOM for the selected part and store combination (i.e. stock level) that will be used when creating transactions and viewing available inventory. 3 new fields have been added to the Stores tab for Parts for configuring local UOMs: 

• Part UOM – This read only field will always display the part UOM value from the record view. It is for information only on this tab. 

• Local UOM – This is an optional lookup that will be used to select the local UOM to be used when creating transactions for the selected stock record (i.e. part and store combination). 

• Qty. per Part UOM – This is an optional number field used to specify the conversion rate to go from the part UOM to the local UOM. For example, if part UOM = Kilograms and Local UOM = Pounds, then Qty. per Local UOM should be set to 2.2. 


Customer Surveys | E-Mail Triggers 

Leveraging the enhanced E-mail Template's capabilities, Customer Surveys can now be triggered, created, and sent directly through EAM's native Email Messenger. This allows the Customer Survey module to be leveraged without an integration to an outside application. A new tab is introduced on the Customer Survey screen to configure the triggering entity and required status change. Once the Customer Survey is approved and the configured triggering event takes place on a source record, EAM will create a mail event and send the Customer Survey email to the defined recipient exactly the same as any other email message sent from EAM. 


Work Requests | Duplicate Check 

Added the ability to enable the system to check for potential duplicate work requests/work orders before the new work request is saved.
